Choosing a real estate CRM in Dubai: what to check before you buy
What a real estate CRM must actually do
Real estate CRM software in the UAE is not hard to find, and almost any of it can store contacts. A CRM for brokerages needs more than a contact list. It needs every enquiry captured without anyone typing it, a first reply within minutes, one owner per lead, and a pipeline that follows a deal through viewing, offer and closing. It also has to hold both sides of the market at once: owners and landlords who list with you, and buyers and tenants who enquire. If the system cannot do this comfortably on a phone, agents will be back on WhatsApp and notebooks within a month.
Six things to check before buying
- Lead capture from your real sources. Ask exactly how portal leads, website forms, ad forms and WhatsApp messages get in. If the answer is that someone copies them, leads will be lost on the busiest days. We wire in the lead sources you use, such as portal lead emails, website forms and WhatsApp.
- Routing and first response time. Who gets a new lead, how fast, and what happens if they do nothing? Check whether the first message can be answered instantly and whether you can see each agent's response speed.
- WhatsApp on the company number. In this market the conversation happens on WhatsApp. If it happens on an agent's personal phone, the company does not own the relationship.
- Ownership and reassignment. When an agent leaves or goes on leave, a manager should be able to move their leads in minutes, with the full history attached. Each agent should see what is theirs, and every change should be recorded.
- Reporting by source. You should see which source produced viewings and closed deals, not only enquiries, so the marketing budget follows results.
- Arabic and English. Your clients write in both. Check that Arabic is a real right-to-left interface, not a translated afterthought.
Common mistakes
- Buying a global CRM designed for long B2B sales cycles, then spending months bending it into a brokerage workflow.
- Rolling out a CRM without connecting WhatsApp, so the real conversations never enter it.
- Counting leads instead of deals. A source that brings many enquiries and no viewings costs you twice: the ad spend and the agents' time.
- Leaving follow-up to memory. Off-plan buyers can take months to decide, and the agent who calls back on time is usually the one who sells.
- Starting from zero. Import the contacts you already have from Excel on day one, so nobody is asked to retype their book.
A note on compliance
A CRM keeps your records organised and every change logged, and opt-out handling means nobody is messaged after asking to stop. It does not make a brokerage compliant on its own. Your business stays responsible for its regulatory obligations and for how it markets and contacts people.
